WORKSHOP CANCELLATIONS AND TRAVEL POLICY

Clearmind International is not an insurance broker or an expert on travel or other insurance. Clearmind International is providing the following information to assist you in navigating travel insurance with your chosen insurance provider. Within this policy, Clearmind International is referred to as Clearmind.

 

Clearmind International Cancellation Policy

Note: Any dollar amounts listed on this site are in Canadian dollars (CAN) as we are a company registered and operating in Canada. Refunds are issued in the currency of purchase which is Canadian dollars. If the currency needs to be converted for the refund, then the current currency rate, and not the currency rate at the time of the order, is used in the conversion. This means that charges will be subject to the currency exchange rates in effect through your credit card or bank at the time of the charge. Should you request a refund, you will be refunded in Canadian Dollars, and that refund will also be subject to the currency exchange rates in effect through your credit card or bank at the time we process the refund. This means that even if we issue a full refund, the amounts that appear on your statement are unlikely to match, due to the different buying/selling rates banks charge for currency exchange.

 

3-day workshops (or less):

  • Workshop prices include a $150 non-refundable, non-transferable administration fee to hold your spot. Any refund provided will be the amount paid less the $150 administration fee.
  • For cancellations up to one day prior to the workshop start date: full refund minus the administration fee – or the option to credit to a future workshop (a $50 transfer will apply).
  • For cancellations on the day of the workshop – no refund. Any fees paid, less the $150 administration fee, will be held as a credit toward a future workshop.
  • For cancellations, after the workshop has started, no refund.
  • After you have registered for a workshop, should you wish to transfer your registration to another date, a $50 transfer fee will be applied.

 

1-week workshops:

  • Workshop prices include a $250 non-refundable, non-transferable administration fee. Any refund provided will be the amount paid less the $250 administration fee.
  • Cancellations/Transfers within 14 days of registration: full refund or credit. No transfer fee applies.
  • Cancellations/Transfers prior to 6 months before the workshop: full refund minus $250 administration fee.
  • Cancellations/Transfers between 6 months and 4 months prior to the workshop: refund/transfer/credit is the amount of registration paid less a $500 fee.
  • Cancellations/Transfers between 4 months and 2 months prior to the workshop: refund/transfer/credit is the amount of registration paid less a $700 fee.
  • Cancellations/Transfers between 2 months and 2 weeks: refund/transfer/credit is the amount of registration paid less a $900 fee.
  • Less than 2 weeks remaining prior to the workshop: refund/credit/transfer is not available. Full fees apply.

 

2-week workshops:

  • Workshop prices include a $250 non-refundable, non-transferable administration fee. Any refund provided will be the amount paid less the $250 administration fee.
  • Cancellations/Transfers within 14 days of registration: full refund or credit. No transfer fee applies.
  • Cancellations/Transfers prior to 6 months before the workshop: full refund minus $250 administration fee.
  • Cancellations/Transfers between 6 months and 4 months prior to the workshop: refund/transfer/credit is the amount of registration paid less a $1000 fee.
  • Cancellations/Transfers between 4 months and 2 months prior to the workshop: refund/transfer/credit is the amount of registration paid less a $1400 fee.
  • Cancellations/Transfers between 2 months and 2 weeks prior to the workshop: refund/transfer/credit is the amount of registration paid less an $1800 fee.
  • With less than 2 weeks prior to the workshop start date: refund/credit/transfer is not available. Full fees apply.

CANCELLATION OF A WORKSHOP BY CLEARMIND

Clearmind workshops are confirmed to go ahead when they have a minimum group size booked. Clearmind reserves the right to cancel any workshop for any reason.

When a workshop is canceled by Clearmind before the agreed date of commencement for any reason other than Force Majeure or the fault of the Client, the Client can either:

  • Transfer the registration to the next available workshop equivalent or higher price if Clearmind is able and willing to offer such a substitute and pay any difference in price between the price of the workshop originally purchased.
  • Receive a full refund of all monies paid under the contract as soon as possible.

Clearmind is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable flights or rail, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.

If the Client is offered a refund but requests an alternative workshop of a value than that originally booked, then the Client must pay the difference in price.

 

TRAVEL INSURANCE: THE BASICS

You’ve officially booked your Workshop and perhaps it’s a Destination Workshop. We can’t even begin to tell you how excited we are to have you. We wanted to take a moment to outline both our minimum expectations, along with our suggestion on what we feel will ensure your medical and financial needs are taken care of.

We don’t want you to miss this amazing experience, but sometimes the unexpected happens! From time-to-time workshops may be canceled or dates changed, this can be due to low registration or other factors. Ensuring that you have appropriate travel assurances and travel insurance coverage can really decrease stress and financial pain. Here are some of the basic factors you’ll want to consider.

 

Travel Insurance.

Travel insurance typically refers to three types of coverage that you can buy individually or altogether in what is often called comprehensive travel insurance.

  • Trip Cancellation: covers cancellation of your trip before you start on your journey
  • Trip Interruption: covers delays and interruptions once you have started on your journey (e.g. flight/weather delays; missed connections; and sometimes may cover things like lost baggage, car rentals, etc.)
  • Medical Coverage: covers any issues regarding your health and sometimes the health of your travel partner/medical issues with family members.
  • Cancel For Any Reason Coverage: as the name implies, allows you to cancel for more reasons than traditional cancellation coverage (e.g. your dog is sick, you are called to work, travel restrictions are in place, and you can’t travel or don’t feel comfortable traveling)

 

When to Buy Travel Insurance?

Every insurance plan has different requirements, but in order to maximize coverage and be eligible for cancellation insurance, you typically need to purchase insurance between 72 hours – 21 days after you pay for any portion of your trip.

 

What We Suggest

It is strongly recommended the coverage be extended to include cancellation, curtailment, and all other expenses that might arise as a result of loss, damage, injury, delay or inconvenience occurring to you during travel.

Clearmind shall have no liability for loss, theft of, or damage to baggage or personal effects. Personal belongings lost or stolen while unattended by you in public lounges or other public areas, whether onboard a vessel, train, bus, or another mode of transportation, publicly owned or operated by Clearmind or elsewhere, are not reimbursable.

Losses due to ordinary wear and tear and other acts of God are not reimbursable. Clearmind cannot accept responsibility for and in no event shall be liable for loss or damage of valuables or other articles left in or on facilities used by Clearmind such as hotels, homestays, vessels, expedition vehicles, or any other mode of transportation.

 

Do You Need Insurance?

This is a great question!
Clearmind completely understands the hesitation, but that’s why we have created this resource – to diminish any hesitation, you may have!

So, WHY buy? There are various reasons. First and foremost, for your protection. Insurance covers you for anything unforeseen or unexpected. Now, this includes Medical Emergencies at the destination (medical insurance), or before departure (cancellation insurance) this will also cover you for… an unexpected pandemic?!

Insurance companies specializing in travel will also cover you upfront for any medical emergencies in the destination (where possible) reducing the worry on the traveler, should anything happen while you’re on your adventure! Insurance will also protect your investment – should anything happen before your departure, that is unforeseen and unexpected, your purchase is completely covered.

For exact details on coverage reasons, please refer to the exact insurance policy that you will be purchasing and your airline cancellation policy and/or conditions.

 

What About Insurance When Travelling Within My Own Country?

Short Answer… Yes!
Outside of your province/state or region of residence, it’s best to ensure that you have proper coverage. I.e., Travelling from Ontario to British Columbia, your OHIP (Ontario Health) coverage will no longer cover you, which is where insurance coverage will step in. The same thing goes for interstate travel.

 

What Is Trip Cancellation and What Does It Cover?

Trip cancellation coverage covers you for anything unforeseen and unexpected that comes up PRIOR to departure. From the moment you purchase your insurance – to the moment you leave for the airport, you’re covered under Trip Cancellation. Every insurance policy is different, so it is crucial to read through the coverage that you’re purchasing. However, most Trip Cancellation packages will cover you for anything that comes up that IS NOT pre-existing. I.e., You fall and break your leg 2 weeks before departure, covered. You lose your job a month before departure, covered. Etc. (Please contact your specific insurance company for absolute specifics as every package is different).

Trip Cancellation packages often include Interruption Insurance as well. This picks up from the second you leave to go to the airport until the second you get back home. For example, you’re on your way to the airport, and there’s an accident on the highway that has stopped you from arriving on time for your flight, covered. (As long as you’ve left yourself the suggested amount of time – 3 hours international flight etc.).

 

If I Cancel My Workshop and Travel Plans, Do I Get My Money Back?

This will depend on how close to the workshop you cancel, the type/duration of the workshop, and the criteria of your airline’s cancellation policy.

There are a few steps to take prior to the insurance company giving you your money back. First, you must come to us and then your airline to see where you sit in the cancellation policy. When you come to us, we will refer to the Clearmind International Cancellation Policy and if there is anything refundable from that we will pay that out. The airlines should work the same way. Then the remainder will be paid out by the insurance company, should it be for the reason that is insurable.

 

How Do You Book Insurance?

Clearmind International is not licensed to sell travel insurance. If you are traveling outside of your country or province of residence, having Travel Medical Insurance is highly encouraged. Here’s what we suggest:

  • Transport to the nearest, appropriate medical facility in the event of injury
  • Helicopter evacuation/air ambulance etc. as well as medical repatriation to your home country for further treatment
  • Emergency overseas medical treatment, including treatment in a clinic or hospital, plus medicines as prescribed by your treating doctor
  • Emergency Medical and Evacuation Insurance Coverage for at least $200,000

 

Price of Trips and Workshops

  • All prices are for the workshop only and do not include any transportation to or from the workshop rendezvous or workshop drop-off.
  • All prices are for shared occupancy and single clients will be assigned a roommate by Clearmind.
  • All prices are subject to change, including the addition of surcharges, up to 90 days before the start date of the workshop but no such changes will occur once the Client pays the full price of the workshop.
  • All prices for workshops sold through Clearmind International Canada are in Canadian Dollars including some workshops offered outside Canada are in CAD Dollars. The client may choose to pay in either currency and the Client will be responsible for any charges or fees over and above the price of the workshop charged by the Client’s bank or credit card.
  • All prices for workshops sold through Clearmind International Training UK LTD are in English Pound including some workshops outside the UK.
  • Prices quoted by Clearmind for Workshops are based on information provided to it by the various suppliers, including applicable taxes, and are subject to change according to the supplier terms and conditions.

For Online Services:

You verify that you will be participating from an up-to-date desktop or laptop computer and have a strong internet signal (ideally connected thru Ethernet cable rather than WIFI). Headphones are highly recommended to minimize feedback. Our workshop producer will provide some support on how to use our online platform during scheduled set-up times as well as throughout the workshop. Unfortunately, we are not able to provide technical support regarding your personal computer, equipment, or internet issues. You will be responsible to test your equipment prior to the start of each day to ensure that you join the session on time.

 

Distinction Between CMI and CMUK for Workshop Purchases

Clearmind International Institute Inc and Clearmind UK Trainings Ltd are affiliates but “separate” companies operating in two different countries: Canada and UK respectively.

For compliance reasons, no credits, refunds, gifts, vouchers, transfers, or payments can be shared between the two companies under any circumstance.

 

Disputes:

Clearmind International Institute Inc. is a Canadian company, and as such any disputes will be solely settled in a court in the Jurisdiction of Canada or BC. The credentials, designations, and qualifications of facilitators are designations assigned in Canada. The same or similar designations may mean something different in your country or area of residence. You as the participant understand that we do not make any representations about what our qualifications, designations, or credentials mean in your particular jurisdiction.

 

Confidentiality:

You agree you are participating in this workshop of your own volition, and any information you share about your personal life and experiences is of your own choosing. You understand your information is held confidential within the Clearmind organization as a whole, and will not be shared externally without appropriate permissions. You understand that you will be provided with an informed consent document to review and sign that further details confidentiality.

 

Accounts Receivable Issues – Bad Debt

If you’ve participated in one of our programs and/or workshops and have outstanding fees owed, we want to work with you to clear that up. Life happens. We get it. When this situation arises, our office staff will make every attempt to contact you and arrange for a mutually agreeable payment of fees owed. If we are unable to reach you after multiple attempts, then we will need to remove you from any participation in current or future workshops and programs, this includes receiving support, being permitted to perform assisting or shadowing roles, registering for assistants training, or participating within e-groups. Once the debt has been fully paid, these restrictions will be removed. If no attempt is made to clear the balance, the outstanding amount will be referred to a collection agency.

 

Proprietary Information:

You understand that the teachings, processes, audio-visual material of works, and other material containing proprietary information, originating from or through Clearmind International or its founders, may be used solely for personal use and is not to be distributed without permission.
